Senior Manager - Facilities Management-Hard Services (UAE National)

As part of Expo City Dubai, the Community Management Division is responsible for providing world-class community services and customer satisfaction, in addition to managing all operational aspects of the Expo City Dubai master community, buildings and tenants.

Opportunity Responsibilities

The main responsibilities for this role include:

Strategic Responsibilities:

  • Develop and implement strategic Hard FM objectives and execute them ensuring alignment with the broader organizational goals.
  • Introduce and uphold best practices in the planning and delivery of Facilities Management services.
  • Ensure facility management service providers adhere to relevant authorities, laws, regulations, insurance policies, and building codes, while adhering to Community Governance, tenant/owner guidelines, Community service charges, billing & administration, and asset management guidelines (asset registration maintenance, custodian of O&M manuals, warranties, and insurances)
  • Develop a long-term strategic plan addressing facilities management need, focusing on capital projects, maintenance, and infrastructure upgrades.

Operational Responsibilities:

  • Coordinate with architects, engineers within the Asset management team, and contractors to ensure projects are completed on time and within budget.
  • Manage the day-to-day operations of all facilities, focusing on maintenance, repair, and cleaning services. Ensure operational procedures are efficient and effective, meeting the needs of the organization.
  • Develop and enforce comprehensive safety protocols across all facilities. Regularly review and update these protocols to ensure compliance with the latest health and safety standards, as well as regulatory requirements.
  • Strategically manage and allocate resources, including budgeting and operational costs, to maximize efficiency and effectiveness in facilities management.
  • Direct the maintenance and repair of facilities infrastructure, ensuring all work is performed to high standards. Oversee both in-house teams and external contractors to ensure quality and efficiency.
  • Stay abreast of and ensure adherence to local building codes, safety regulations, and fire prevention standards. Conduct regular audits and inspections to maintain compliance.
  • Plan and oversee infrastructure upgrades and renovations, ensuring they meet current and future organizational needs.
  • This includes assessing the condition of existing facilities and determining the need for upgrades or repairs.
  • Develop and maintain emergency response plans for all facilities. Ensure staff are trained and prepared to handle emergency situations effectively.
  • Manage relationships with vendors and contractors, negotiating contracts, and ensuring that services are delivered according to agreed-upon standards and timelines.

People Responsibilities:

  • Provide effective leadership and management to the facilities team, ensuring high performance and professional development.
  • Supervise, and evaluate contractors, architects, engineers, and other staff involved in facilities management.
  • Set and assess performance objectives for team members, addressing any personnel issues and fostering a culture of accountability.
  • Develop and implement training programs to enhance team skills and knowledge in hard services facilities management.
  • Continuously monitor the overall performance of the service providers. Identify areas for improvement and implement strategies to enhance efficiency, productivity, and job satisfaction.

Skills

10+ years in facilities management or a related field, with a focus on hard services as well as:

  • Proven ability to manage large-scale facilities or community management projects effectively.
  • Strong skills in managing events and operational logistics within a facilities context.
  • Understanding of revenue-generating strategies specific to the facilities management sector.
    In-depth understanding of the various operational divisions in facilities management and how they interconnect.
  • Exceptional attention to detail in record-keeping, data analysis, and enhancing operational efficiency.
  • Capability to manage multiple projects simultaneously, with an understanding of complex organizational structures.
  • Experience in strategic planning and management of programs within facilities operations.
  • Demonstrated success in supporting and enhancing departmental programs.
  • Proficient in hands-on operational management and effective report writing.
  • Skills in engaging with high-level stakeholders and fostering senior community collaborations.
  • Proficiency in evaluating staff performance and setting achievable goals.
  • Excellent time management skills with the flexibility to work in varying shift patterns and outside regular hours as needed.
