Opportunity Responsibilities

The Main Responsibilities of the role include:

Operational Responsibilities:

  • Assist the Senior Manager - Production in developing detailed production schedules and other frameworks relating to Firdaus Orchestra live events, shoots, and engaged performances
  • Work closely with the wider Orchestra team and assist in planning and tracking progress of events
    In coordination with the Senior Manager - Production Management, develop periodic reports on production progress and highlight any issues, proposing potential mitigations
  • Support in developing, monitoring and operational management of Guest Artists
  • Collating procurement requirements i.e. staging, props, uplift in personnel and/or technical (sound, light audio) and hospitality requirements and ensuring alignment with plan and budget
  • Liaise with Procurement and Contracts team to ensure requirements are captured properly and delivery is on time
  • Cultivate relationships with the team members and stakeholders (internal/ external) to support daily operations and objectives for the orchestra
  • Assist with orchestral projects as required, for example, Live Concerts, Video Shoots, Organized Events and PR events.
  • Assist Senior Manager in collating documentation required for permits, e.g. DTCM performance permits, video shoot permits, etc. Liaise with venue operators for concert/activity confirmation and operational requirements
  • Support on the appointment of additional technical and/or production staff if needed per venue
  • Provide assistance to Senior Manager - Production as required and oversee production of all shows and programming events, ensuring that they are as per approved plans
  • In coordination with the Senior Manager - Production, evaluate and prepare a report on each orchestral event, detailing successes and recommendations for the next production
  • Arrange logistical requirements for orchestral events and related personnel (catering, transport, instrument transport/packaging as required)
  • Maintain up-to-date asset register capturing relevant details of all physical assets procured and owned by the Orchestra.
  • Coordinate with external and internal stakeholders as required to gather information
  • Track and monitor physical assets that may be procured on a rental basis, if required. Ensure documentation as required is maintained. Coordinate with internal and external stakeholders (as required) both on entry and exit of assets.
  • Manage security, protocol and other logistics requirements for show guests in coordination with internal and external stakeholders

Operations - Firdaus Studio:

  • Support Senior Manager – Production on Firdaus Studio PR events and curated shows; liaise with internal and external teams for flawless execution
  • Support Senior Manager – Production in delivering Firdaus Studio events planning, development, and execution; in line with the Studio KPIs
  • Assist in developing detailed plans, schedules, and other frameworks relating to Firdaus Studio live events, and drive continuous improvement within the project scope
    In coordination with the Senior Manager - Production, track projects end-to-end from planning to execution and delivery
    In coordination with the Senior Manager or as directed, oversee the setup of events, ensuring that they are as per approved plans
  • Assist the Senior Manager in overseeing management of event operations through liaison with various external & internal stakeholders
  • Track projects end-to-end from planning to execution and delivery
  • Assist the Senior Manager in the evaluation and compilation of a report on each programming event, detailing successes and recommendations for the next production

Skills

Minimum of 1-2 years’ experience in project management or similar positions as well as:

  • Bachelor’s Degree in related field
  • Ability to identify problems and develop solutions
  • Excellent interpersonal skills (written and verbal) with good business writing skills
  • Structured thinker, highly organized
  • Flexible, resilient, and positive through organizational growth and change
  • Transparency, integrity, and honesty
  • Event technical knowledge is preferred
  • Previous Project Management experience/understanding of Project Management Principles
  • Sense for integrity and confidentiality
  • Generate ideas, think creatively and develop innovative solutions
